Notice Re: RealTracs Network Outage

To Our Valued Users:

Earlier today, the RealTracs MLS system experienced a network failure related to a piece of hardware and its configuration.  During that time, our engineering team worked continuously along with multiple senior engineers from Cisco to rectify the problem.

The core issue was a network connectivity failure related to a piece of hardware and was not associated with the MLS system itself or the database.  Please know, your data was always safe and secure.

All RealTracs systems, including our Internet service providers, have redundancies, or backup systems, in place to ensure MLS uptime.  Today’s outage was caused when a redundant piece of network hardware took over a process from a failed system as it is designed to do, and the failed system continued to run, causing the interruption.  As soon as our engineers identified the source of the failure, it was removed, and system access was restored.

RealTracs will continue the ongoing implementation of cloud-based systems and other technologies to help ensure such a failure in the future is mitigated.  We take the uptime and reliability of the MLS system very seriously, and sincerely apologize for this unacceptable inconvenience.

Not Making Changes Just for the Sake of Change

Have you ever observed RealTracs make a change to something small, and you were left scratching your head? Did you ask “why,” or “how does this affect me?” If so, you shutterstock_599090141were probably not alone, and it is certainly worth further explanation.

As you can imagine, there is an enormous amount of data, which brokers authorize RealTracs to send on their behalf, to hundreds of website providers, back-office tool providers, showing services, statistical companies, advertisers, and more. Not only do all these vendors receive data from RealTracs, but they also get listing information from other MLSs, literally from coast-to-coast.

That’s a lot of data.

Not only that, but it has to be understood by everyone to make it worth sending. This is where the Real Estate Standards Organization (RESO) Data Dictionary comes in. The RESO data dictionary is the “Rosetta Stone” for listing information. It ensures that technologists, MLSs, and vendors all speak the same language on how to describe your listing data. Why does this matter? Because it saves you time and money!

Historically, real estate technology vendors had to onboard different sets of data from multiple MLSs with different rules and different meanings and…well, you can see how time-consuming and expensive that would be when repeated for 700+ MLSs across the

country. With platinum data dictionary compliant MLSs – like RealTracs – the vendor knows that a listing in Tennessee will be described the same as it would be anywhere else. RealTracs’ Chief Technology Officer, Doug Powers, the force behind RealTracs’ RESO certification, said it best. “Every market is different, but we all have bedrooms and bathrooms. Where we can agree to a standard, we can simplify the organization, delivery, and presentation of data for the products and brokers that transcend markets.”

You will soon see the latest example of this type of data field update with how sewer is described in add/edit. There will be selections for a public or private sewer, septic tank, and Septic Tank Effluent Pumping (STEP) system.  As RealTracs moves toward 100% RESO compliant data fields, you will see more data field updates over time, and helpful information will be posted in the RealTracs Help Pages under Add/Edit: Data Dictionary. Instant Auto-Notification is HERE!

Instant gratification?  Good.  Instant coffee?  Bad.
Instant listing notification? GREAT!

shutterstock_1059073073That’s right!  RealTracs has upgraded the Auto-Notification system from hourly to INSTANT notification.  The market moves fast, and now you can run right along with it.

OK, after you finish celebrating the news, there is one essential thing to remember with instant notifications.

Emails are sent immediately after a listing is saved as Active-Showing, so it is crucial you get all the details of your listing correct such as accurate listing information, photos, and documents.

Here’s a helpful tip: Save your listing first as Incomplete after it is entirely ready to go.  This ensures you can review and edit the details before saving as Active.

Other Auto-Notify details:

  • The Morning option runs at 5:00 a.m.
  • The Mid-Morning and Mid-Afternoon notification options were combined and are now the Afternoon notification option which will run at noon.
  • The Evening notification option runs at 6:00 p.m.
  • Multiple Selections are permitted for Morning, Afternoon, and Evening notification options only
  • Instant notification will be sent with New and Back to Active Listings, Price Changes, and Status Changes.


Did you know?

10% of listings are edited in the first five minutes after going Active-Showing, and 20% receive edits in the first hour!  Be sure to double and triple check that all listing information is accurate before saving as Active!

New MLS Features Added Today

What’s New?

  • The Shared Agent reports now include clickable Tax ID links
    • When the tax link is clicked from a desktop, and you are logged into, the full CRS tax report will open
    • If you are not logged in, an overlay with the most popular fields will open

  • The stats results tab now contains a Year Built column for minimum, average, median and maximum values
  • You no longer have to select listings to Print from the Stats tab

Updates, Enhancements to Add/Edit

There were a few updates and enhancements released to today including a few changes to Add/Edit.

Other Enhancements:

  • Add/Edit: Acres selection tool includes option for “less than 0.25”.  You can choose to enter either the exact acreage or select that the lot is less than a quarter acre.  A lot-size value is required when exact acreage is not provided.
  • Add/Edit: Print Preview is now Preview Full Report, button added to listing “confirmation” page
  • Add/Edit Commercial Listing “step 1” updated to include all pricing options
  • Under Contract – Showing Listing flag color updated to help differentiate from Active
  • Commercial listing flags now display “For Lease” and “Leased” respectively
  • Rental listing flags now display “For Rent” and “Rented” respectively and “last list” removed from shared emails

Bugs Fixes:

  • Agent information overlay working on shared listing reports

Add Listings in MLS Up to 30 Days in Advance

Whether you want to call it coming soon, pre-marketing, taking a pause, or Aunt Sally and Uncle Rupert coming over for Thanksgiving, you can do just that with your property in the MLS with the Active – Not Showing status.

The great thing about Active – Not Showing is that you can now list your property in MLS and set the date it goes Active – Showing for up to 30 days out instead of the previous 15!  If you need to paint, make repairs, or get the visiting relatives out of the house, just set the status to Active – Not Showing and do what you need to do.  Days on Market WILL NOT accumulate during the time your listing is initially set to Active – Not Showing.

Need to take a break after the listing has gone to Active – Showing?  You can change the status from Active – Showing to Active – Not Showing until your sellers are ready.  You no longer need to withdraw the listing to take a pause!

That’s not all…

  • Type has been added as a Residential option to the List View Results when applying custom column headers
  • Arrows have been added to your List View Results to confirm the sort direction on sorted columns
  • The Office phone is now included on your user profile and RealTracs signature

Some things we fixed under the hood…

  • Add/Edit:  Manual geo-coding issue with pin drop was fixed with  November 2nd release
  • Commercial listing report:  Lease per SqFt is no longer rounding the user entered value
  • CMA Report:  MLS numbers now link back to the full report
